Office Manager/Assistant Property Manager
Real Estate a MUST!
$70-80 base salary + Bonus!!
A property management company seeking candidate for an Office Manager position. Candidates
should have five years + experience, strong organizational skills, able to multi-tasks, oversee
office with 26 employees, human resources, knowledge of residential housing (condominium,
cooperative, and HDFC ), dealing with city agencies. Experience with real estate management
software a plus.
Responsibilities:
Office:
o Office Equipment Order and schedule repairs.
o Report computer issues to IT and assist them when needed.
o Keep track of absences, and scheduled time off and report weekly for payroll.
o Address concerns with staff and report to the principals.
o Arrange, keep track of the work for the Office assistants and the receptionist, such
as filing, mailings, supplies, worksheets and other annual projects.
o Organize, set and assist with new office policies and procedures.
o Organize office meetings, and presentations for the Agents and Assistants.
Properties:
o MDR - Annual Property Registrations, organize, update HPD website, worksheet,
and follow up with Agents.
o Arrange annual boiler cleanings, organize boiler list, arrange cleaning with
company, and alert the Agents.
o Arrange and order bulk supplies for properties such as the annual calcium salt
order.
Complete forms, submit paper documents and website uploads, follow up on
compliance for properties such as:
o DHCR - Rent registrations, rent controlled; keep in contact with the expert to
ensure they have all information to register the apartments with DHCR.
o Local Laws - Compile information as requested, keep track with due dates &
years.
o DOB NOW - the go to person to sign off on annual inspections elevator and
boiler.
o Co-op / Condo Inspections
o Update and renew boiler permits, PBS certificates, set up inspections, for fire
permits done on website, update logs, and use SiteCompli as a reference.
Leases Market & Rent Stabilized
o Produce leases and riders for mailing.
o Keep track of leases mailed and returned on log and leasehold.
Sale & Sublet Packages:
o Process new packages in Leasehold, moving out, adjustments if necessary, and
move in. Complete as much information as received on Leasehold.
Property Payroll (Will assist with this)
o Update property payroll sheet weekly with request received from
Agents/Assistants.
o Ensure that what was requested was posted and paid on the payroll website.
o Post new hires in leasehold, make sure we have all new hire documents to include
new state and city law documents such as sexual harassment. Submit to payroll
agency new hires and request as received.
Property Monthly Billing (Will assist with this)
o Set a date for invoices to be done and inform the staff
o Update log with changes such as increases, one-time charges, and attachments
